Are you a Finnish-speaking professional who enjoys taking ownership, coordinating complex processes, and working with multiple stakeholders? Do you have experience in order management, sales support, or B2B administration? Are you someone who likes to take responsibility and ensure that everything runs smoothly from start to finish? Then this could be the perfect opportunity for you!
We are currently looking for a Sales Coordinator to join a well-established international company within the medical technology industry. In this role, you will play an important part in ensuring that customer orders are managed efficiently, accurately, and delivered according to plan.
You will primarily support the Finnish market and become part of a collaborative Nordic sales organization based in Stockholm.
01About the Role
As a Sales Coordinator, you will have end-to-end responsibility for customer orders, from the initial order placement through to delivery and final invoicing.
This is much more than an order administration position. You will be responsible for keeping the entire process together, identifying potential issues, coordinating different departments, and ensuring that every order is handled correctly and within the agreed timeframe.
You will act as a central point of contact between customers, the sales organization, service teams, project managers, international factories, and the finance department.
Your Main Responsibilities:
- Receive, review, and register customer orders, primarily via email.
- Ensure that order documentation, pricing, and delivery terms are accurate and complete.
- Communicate with customers and sales representatives to clarify or obtain missing order information.
- Coordinate complex orders involving multiple factories, deliveries, and internal functions.
- Monitor order progress and ensure that products are delivered according to schedule.
- Collaborate with service coordinators and project managers to prepare for product installations.
- Ensure a smooth and accurate handover to the service organization.
- Follow up on open orders and ensure that invoicing takes place at the correct time.
- Manage partial deliveries and invoicing in multiple stages.
- Communicate deviations and changes in invoicing schedules to the finance department.
- Take ownership of your orders and ensure that each process is followed through to completion.
02About You
We are looking for someone with previous experience in order coordination, order management, sales support, or qualified B2B customer service.
You have a good understanding of how different parts of an order process are connected, from receiving an order to coordinating deliveries and ensuring that invoicing is completed correctly.
You are comfortable taking ownership of your work, coordinating multiple stakeholders, and handling both routine tasks and more complex situations. You understand the importance of keeping track of details while maintaining an overview of the entire process.
To Succeed in This Role, We Believe You Have:
- Approximately two years of experience in a similar position.
- Previous experience in order coordination, order management, sales support, or qualified B2B customer service.
- Experience independently managing and following up on order processes, preferably from order placement through to delivery and invoicing.
- An understanding of how orders, deliveries, installations, and invoicing are connected.
- Experience coordinating several internal and external stakeholders.
- The ability to manage complex cases and keep multiple processes moving simultaneously.
- Previous experience working with ERP or other business management systems.
- Good general computer skills and the ability to quickly learn new systems and processes.
- Excellent communication skills in Finnish and English, both written and spoken.
Experience working with SAP or Salesforce is also considered a plus.
Who Are You as a Person?
You are a responsible, structured, and proactive individual who enjoys taking ownership and driving processes forward.
You are detail-oriented and understand the importance of accuracy when handling customer orders, deliveries, and invoicing. At the same time, you are able to maintain an overview and ensure that all the different parts of the process come together.
You are confident in making decisions and taking action when something needs to be resolved. Rather than waiting for someone else to follow up, you take initiative and make sure things get done.
You also have strong communication skills and enjoy working with different stakeholders, both internally and externally. You understand the importance of keeping everyone informed and ensuring smooth collaboration between departments.
